Designed for California HOAsPre-production

Keep quorum in view from the first notice to the final count.

CommunityVote guides your manager, board and independent inspector through each step of an association election, with participation counts that never reveal how anyone voted.

Who uses it

One workspace for everyone in the election

Each person sees the part of the election that is theirs, so the board, the manager, the inspector and the voter are not working from different spreadsheets.

  • Board member

Accountable for the election, and for knowing where it stands.

    What you can do

Watch quorum and participation counts as they build, review the launch checklist and keep the board informed.

  • Property manager

Does the work of running it, usually alongside everything else.

    What you can do

Set up the voter list, ballot and notice schedule, send reminders with delivery status and keep records together.

  • Independent inspector

Keeps custody and counts, independent of the board and manager.

    What you can do

Work from a defined inspector workspace for custody, counting, recounts and sign-off. Counting stays with you.

  • Homeowner and voter

Wants a clear, short path to cast a vote.

    What you can do

Open the link your community sent, enter your one-time code and vote on a phone or computer where your documents allow it.

Quorum first

Quorum is the number that matters most

Most association elections stall on participation, not on logistics. CommunityVote puts quorum progress at the top of your dashboard so the board can see where it stands and act in time.

  • See it early

Participation counts update as ballots arrive, so a shortfall shows up while there is still time to remind owners.

  • Reminders with a record

Send notices and follow-ups through the system and see delivery status, not just that something was sent.

  • Counts, not choices

Quorum needs to know who participated. It does not need to know how anyone voted, and staff views are designed not to show it.

We do not promise a quorum result. Participation depends on your community.

How it works

Four steps, whether you run it yourself or ask us to help

The managed path adds help to the first three steps. It never replaces your inspector or your board.

  1. Step 1: Set up

Import your voter list, choose the election type and configure the ballot. Or ask us to help.

  2. Step 2: Notify and nominate

Send notices with delivery tracking and collect candidate nominations.

  3. Step 3: Vote and watch quorum

Open voting by the methods your documents allow and watch participation counts as they arrive.

  4. Step 4: Count and keep records

Your independent inspector counts. Notices, lists and results stay together for your files.

Who does what on the managed path

Filled boxes show the steps each group is involved in.

Who it is for

Built for associations first, useful to other groups

Release 1 is focused on California HOAs. Other member organizations are welcome to talk to us about their rules and needs.

California

A California HOA workflow

A launch checklist, an inspector workspace and a place to keep the records, built around California association elections.

DRAFT, pending counsel review. The California checklist is a working draft and is not legal advice. We do not state that any election is compliant.

  • DRAFT

    Launch checklist

A step-by-step list of topics to confirm before an election opens, to be reviewed with your counsel.

  • Workflow

    Inspector workspace

A defined role for your independent inspector: custody, counting, recounts and sign-off.

  • Workflow

    Records

Notices, voter list versions and results kept together, with an audit trail of administrative actions.

California HOA election management

Security and secrecy

Ballot secrecy, stated plainly

We describe design intent and its limits. We do not claim anonymity, and we do not claim that any system cannot be breached.

  • Identity and ballot kept apart

Voter records and ballot records are designed so they do not share a join key.

  • Staff see counts, not choices

No staff role is given access to individual ballot choices. Participation shows who voted, never how.

  • Server-side permissions

Roles are enforced by the backend and each organization's data is scoped to it.

  • An audit trail

Administrative actions are recorded, and the entries are designed not to contain ballot choices.

What we do not guarantee

  • Anonymity, or that no vote can ever be linked to a voter.
  • That the system cannot be breached, or that operators and backups cannot be misused.
  • Independent certification. The product has not been independently audited.
  • Legal compliance of an election is not guaranteed. That depends on your documents and counsel.

Questions

Frequently asked questions

Something else on your mind?

Ask about managed services, pricing or how a step works. Please do not send ballot choices or voter credentials by email.

Does CommunityVote guarantee our election is legally compliant?

No. It is a workflow tool designed to support your process. Compliance depends on your governing documents, how you run the election and your counsel's review.

Does it replace our independent inspector of elections?

No. It gives the inspector a defined role and workspace. Counting and certification stay with your inspector.

Can staff see how people voted?

The product is designed so that staff roles do not have access to individual ballot choices, and participation is shown as counts. Read the security page for what we do not guarantee.

Can we use electronic voting?

Only where your governing documents and applicable law allow it. Ask your counsel before enabling it.

What does it cost?

See the pricing page for how pricing is structured. Figures are indicative until final and are confirmed in writing.

Can we try it without signing up?

Yes. The demo ballot uses clearly labelled sample data and nothing is stored.
